Forms. When you fill out a form, we collect what you type into it: your name, email address, phone number, your website address if you give one, and the service you are interested in.
Analytics. We use Google Analytics to understand how people use the site. It collects things like pages visited, approximate location, device and browser type, and whether you clicked a phone number or email link. It uses cookies or similar technology.
Free tools. If you run our free website checkup, we process the website address you enter to produce the report.

AI phone answering: calls, recordings and texts
Our AI phone answering service answers calls on behalf of a business, in English or Spanish. If you call a business that uses it, here is what happens.
Notice at the start of the call. The assistant says it is an automated assistant and that the call is recorded. If you do not want to be recorded, you can hang up and contact the business another way. California requires every party to a recorded call to be told, and staying on the line after that notice is how you agree.
Calls answered by the business. Some businesses have their own phones ring before the assistant answers. If the business turns on recording for those calls, both people hear a short recording notice before they are connected, and the recording is handled the same way as the calls below. If you decline where consent is asked for, the call continues without a recording.
What we collect. The call audio, a written transcript, the phone number you called from, the time of the call, and the details you give the assistant, such as your name, what you need and where you are located.
What happens to it. The details are sent as a text message and email to the business you were trying to reach, so they can call you back. We and our service providers may also use recordings and transcripts to set up, test, fix and improve the assistant for that business.
The assistant does not quote prices the business has not approved, and it does not book or promise work on the business's behalf.
How long we keep it. We keep the call recordings and transcripts we store for 12 months, then delete them. The business can ask us to delete a recording or transcript sooner, and we will.

Call history portal
Businesses that use our phone answering service can sign in to a private page to see the calls their assistant has answered. This section explains what that involves.
What the page shows. Each business sees only its own calls: the date and time, the caller's name and phone number when we have them, the length of the call, a summary, a suggested next step, a written transcript and the recording. The page is for viewing. The only things a person can add are a "Called back" mark and a short note on a call.
Notes your team adds. A person with access can tick "Called back" and type a short note, such as "scheduled Thursday". We store the note, the email address of the person who wrote it and the time. Only people at that business can see it, and we do not use it for anything else.
Deleting a call. To have a call removed, email us at calls@crownsweb.com. Each call page has a button that opens an email with the call details filled in. We delete the recording, transcript, summary, caller name and number, and any note. We keep a record that the call happened, with its date and length, for billing, and we do not keep who called.
Who has access. The business owner has access. The owner can give access to other people on their team, such as a receptionist or office manager, by entering their email address, and can remove them at any time. Removing someone signs them out right away. The business is responsible for who it gives access to, and agrees to give access only to people on its team who need it and to remove anyone who leaves. We can also add or remove people at the owner's request.
How people sign in. There are no passwords. A person enters their email address and we email them a one-time sign-in link. The link works once and expires after 20 minutes. If the address does not have access, no link is sent, and the page gives the same answer either way. After signing in, the browser stays signed in for up to 30 days unless the person signs out.
What we collect about portal use. We keep the email addresses of the people who have access, the date of each sign-in, and a record of who was added or removed and by whom. We use it to run the portal, keep it secure and settle questions about who had access. We do not use it for advertising.
Cookies. The portal sets one cookie to keep a person signed in. It is not used for tracking or advertising, and the portal does not load analytics or scripts from other companies.
How long we keep it. Recordings, transcripts and notes are deleted after 12 months, and so is the record of sign-ins and team changes. The call date, caller, summary and length stay for billing and reports. Sign-in links, sign-in sessions and sign-in attempt counts are deleted soon after they expire.
Security. The portal is served over an encrypted connection. Sign-in links and sessions are stored only in scrambled form, and each business can reach only its own calls. If you think someone has access who should not, contact us right away and we will remove them.

Who we share information with
We do not sell your personal information, and we do not share it for advertising.
We share information only with the businesses and service providers needed to run the site and the phone service: our website form, analytics (Google Analytics) and hosting providers, and our AI voice, phone, email and text messaging providers.
We may also share information if the law requires it, or to protect our rights and the safety of others.

Businesses that use our phone answering service
When a business uses our phone answering service, the business decides what the assistant says and what it does with the leads we send. We handle call information on that business's behalf. The business's own privacy practices apply to how it uses what it receives from us, including who on its team it lets see its calls in the call history portal.
-
Your choices and rights
You can ask us to tell you what personal information we hold about you, to correct it, or to delete it. Email contact@crownsweb.com and we will respond. If you are a California resident, you have these rights under California privacy law.
To opt out of Google Analytics, you can use your browser settings or Google's opt-out tools. To stop texts or calls from us, tell us and we will stop.
We typically respond to requests within 1 business day.

Security and children
We use reasonable measures to protect information, but no system is completely secure. Our site and services are for businesses and are not directed at children under 13, and we do not knowingly collect their information.
